BotMakers, Inc. specializes in AI-driven voice agents, chatbots, and automation solutions designed to enhance business operations and customer engagement. Our fulfillment policy outlines how we process orders, deliver services, handle cancellations, manage refunds, and provide ongoing support to our customers.

This policy applies to all customers purchasing AI services, digital products, software, or custom AI solutions from BotMakers.ai.


2. Order Processing & Delivery

2.1 AI Voice Agents & Chatbots

  • Once a customer subscribes to an AI voice agent or chatbot service, they will receive an order confirmation email within 1 business day.
  • A BotMakers representative will reach out within 24-48 hours to discuss project requirements and deployment details.
  • Standard AI agent configurations are completed within 3-7 business days, depending on customization needs.
  • Customers will receive a demo link for review before full deployment.
  • Once approved, the AI agent will go live, and the customer will receive real-time analytics and reporting tools.

2.2 Digital Products & Software Licenses

  • Access to digital products, APIs, and software tools will be granted within 24 hours of purchase.
  • Customers will receive an email with login credentials, installation instructions, and documentation.
  • If a customer does not receive access within 24 hours, they should contact support immediately for assistance.

2.3 Custom AI Solutions & Enterprise Deployments

  • Initial Consultation: Customers interested in custom AI development will receive a free consultation to discuss project requirements.
  • Proposal & Agreement: A detailed proposal, including pricing, scope, and timeline, will be provided. Once accepted, a contract and payment terms must be finalized before work begins.
  • Development & Testing: Custom AI projects typically take 4-8 weeks, depending on complexity. Customers will receive regular progress updates.
  • Final Deployment & Training: Once completed, the AI solution will be deployed, and training sessions will be provided to ensure smooth integration.

3. Refund & Cancellation Policy

3.1 Subscription-Based Services

  • Customers on monthly or annual subscription plans may cancel anytime through their BotMakers account dashboard or by contacting support.
  • No refunds are provided for partially used billing cycles, but customers will retain access until the end of the paid period.
  • Annual subscriptions canceled within 7 days of purchase may be eligible for a prorated refund, subject to BotMakers’ review.

3.2 Custom AI Development Refunds

  • Due to the nature of AI development, payments for custom-built AI solutions are non-refundable once development has begun.
  • If a customer cancels before implementation starts, partial refunds may be issued, less any work already completed.
  • If BotMakers fails to deliver a completed solution within the agreed timeframe due to internal issues, customers may be eligible for credit or an extended service period as compensation.

4.2 Upgrading or Downgrading Services

  • Customers on monthly plans can upgrade or downgrade their service at any time through the BotMakers dashboard.
  • Plan changes will take effect immediately for upgrades and at the next billing cycle for downgrades.

4.3 Service Pauses & Reactivations

  • Customers may pause their subscription for up to 3 months without losing their AI configurations.
  • Reactivations after 3 months may require a new setup fee.

5. Support & Service Level Agreement (SLA)

5.1 Customer Support Availability

  • Standard Support Hours: Monday – Friday, 9 AM – 6 PM CST
  • Urgent Technical Support: Available 24/7 for mission-critical AI failures

  • If AI services experience downtime exceeding 4 consecutive hours, affected customers will receive service credit based on their subscription tier.
  • In cases of extended service disruptions, customers may be eligible for prorated refunds or extended service periods.

7. Changes to This Policy

BotMakers reserves the right to update this Fulfillment Policy at any time. Any significant changes will be communicated to customers via email or posted on our website.
